Our team does not use Trello. Claude Code built us our own board: every task gets its git branch name, the whole team sees changes live, and Claude writes tasks from an audit with the exact file and line. Here are both prompts that started it.

A board with five columns, checklists, due dates, estimates and live updates
An API that gives every task its number and its branch name
A prompt that turns an audit into tasks with file, line and checklist
A prompt that asks the board what is stuck
You need
Claude Code with a Claude plan that includes it, or an Anthropic API key
Node.js or Python on your computer (Claude picks the stack with you)
A small server with HTTPS when the team starts using it
What the board does
Five columns: Backlog, To do, In progress, Review, Done.
Real tasks: each task has an assignee, priority, labels, a checklist, a due date, an hour estimate and comments.
A branch for every task: the server gives the task its number and its branch name, feature/TASK-number-name. A developer opens the task, and the branch name is already there.
Live for the whole team: its own backend with an API and realtime updates. One person moves a card, everyone sees it without a refresh.
Claude writes tasks: give it an audit, and it creates the task through the API with the exact file and line, a checklist of steps, the priority and the right developer.
Yours: your server, your data, no price per seat.
Why build your own board
Not because Trello is bad. Because a board with an API that Claude can read and write changes how you plan. Ask Claude what is stuck in review, and it answers from the real tasks, not from memory. Ask it to turn a code audit into tasks, and they appear on the board with checklists your developers can follow.
Every task also has a due date and an hour estimate, so you see the week's load before it breaks. And the board works the way your team works, not the other way around.
Who this guide is for
Small development teams, agencies and founders who run a few developers and already use Claude Code. You need no experience with WebSocket or databases: Claude builds them. You decide the columns, the fields and the rules.

Team task board, full program
Part 1 gives you a working first version. The full program takes it all the way to a setup you can run every day.
Logins for the teamWho can see and change what, without sharing one password.
Deploy on your serverHTTPS behind nginx, the API as a service and WebSocket through the proxy.
Backups and historyNightly copies of the database and a log of every change on every card.
Pull requests on the cardEach task linked to its branch and pull request, with the status on the card.
Weekly loadEstimated hours against the hours each person has left this week, before the week breaks.
The task writing standardA Claude skill that turns audits into tasks with severity, file and line, checklist and workflow.
NotificationsA message in the team chat when a task moves to Review or passes its due date.
PriceThe price is shown here before payment opens.
You can. A board of your own lets you decide the fields, the numbering and the branch names, it has no price per seat, and Claude can read and write it without limits from a vendor. The trade off is that you maintain it yourself.
How big a team can it handle?
Built like this, with one SQLite file and one server, it is made for a small team. If the team grows a lot, move the data to PostgreSQL. The API and the board stay the same.
Can Claude delete or move other people's tasks?
Only if you let it. Our rule: Claude creates tasks and updates the ones it was asked about. Deleting a task or moving someone else's card needs a clear request from a person.
Where does the data live?
On your own server, in a database file you control. Nobody else hosts it. That is also why backups matter, which is a module in the full program.
I have worked with ads on Google, Meta and TikTok for more than seven years and personally managed ad budgets from $1,000 a day up to $50,000 a month. For the last two years I have built websites, automations and AI assistants with AI every day. I help local businesses in Oslo and on Romerike get more calls and bookings. LinkedIn
